Start with evidence, not feature lists
Most ERP sales decks claim CRM, inventory, finance, reports, dashboards, and AI. The better question is whether the vendor can prove your actual workflow using real screens, realistic data, role permissions, and exception handling.
For Malaysia-based operators, the proof standard should include statutory workflows, operational reality, warehouse traceability, finance controls, security evidence, and a clear go-live plan.
Questions for finance
- Can the system trace quotation to sales order to invoice to payment?
- Can invoices, credit notes, cancellations, and payment status be audited?
- What is ready for LHDN e-Invoice today and what depends on customer credentials?
- Can finance export data if the company leaves the platform?
- Can journal entries, invoice status, and reconciliation evidence be inspected during UAT?
Questions for operations
- Can stock be traced from receiving to production, quality hold, shipment, and customer history?
- Can production status be seen by sales and shipping without a manual update?
- Can warehouse users perform receiving, pick, pack, and ship on mobile-friendly surfaces?
- Can NCR/CAPA evidence link back to lots, production orders, and customer shipments?
Questions for IT and leadership
- Can tenant isolation be tested, not merely promised?
- Are backups enabled and has a restore drill been run?
- Where are secrets, attachments, database backups, and logs stored?
- Which subprocessors process customer data?
- What is the rollback path if a production deploy fails?
